Contract negotiations can be an arduous process, especially when relying on disparate emails and paper-based processes. If you are pressed for time or simply want to maximize your workday, leveraging a cloud-based concurrent document editing solution can exponentially streamline your pre-award contract lifecycle management process. Read on to learn how you can leverage Contract Insight’s seamless integration with Google Drive for cloud-enabled concurrent document management and swift contract collaboration with optimal oversight.
*Please note: to utilize the CobbleStone - GoogleDrive integration, the user must have appropriate licensing and permissions.
To concurrently edit a document in Google Docs, first locate your file within the Files & Attachments section of your contract record.
Next, click on the Document Toolbox icon. A user-friendly Document Toolbox window that centralizes document-related tasks will appear. Then, click on “Upload to Cloud App” and select the “Google Drive” option.
Once your selected document seamlessly uploads to Google Drive, you will receive a confirmation notification.
After this, you can easily access the document from your Google Drive account. Simply click on your document to begin your concurrent editing process.
Click on the pencil icon in the upper right-hand corner to select your editing preferences.
Google offers the following options: Editing, Suggesting, or Viewing. By clicking on Suggesting, you can track changes to your current document. This feature can be highly useful for tracking concurrent changes with multiple stakeholders - yielding optimal oversight.
The “Suggesting” feature gives you the ability to enable track changes. You can see what text was edited, who edited it, and when it was edited. In the sample consulting agreement below, you can see how John Smith changed the Contract Amount from $50,000 to $60,000 at 12:11 PM yesterday.
You can also share this document with relevant, key stakeholders by clicking “Share.” A window will appear - allowing you to share the document with necessary contract document collaborators via an automated email and a shareable link.
Once stakeholders complete the concurrent editing process, the document can be easily imported to Contract Insight from your Google Drive account by clicking “Import From Cloud,” from the Files / Attachments section within your contract record.
And just like that, you can streamline your concurrent document management and contract collaboration - yielding reduced negotiation time in your pre-award contract management processes.
